With respect to the provisions of the General Data Protection Regulation (GDPR), we hereby notify you that your personal data are being collected, processed, and used for purposes of contract fulfillment by tcworld GmbH together with the above-named organizations. The legal basis for the processing is GDPR Art. 6 (1) 1 lit. b.

To register for the tcworld conference, use the access data from your 'my tekom' user account. If you do not yet have a user account, you can create one.

(2) We use the “double opt-in” procedure for creating user accounts. This means that we send a confirmation email to the email address specified after your personal data has been provided. The email contains a link to use to set a password and complete the process of creating a user account. If you do not complete the process within seven (7) days, the personal data that you have provided will be automatically deleted.

For access to the digital range of offerings of the conference and the exhibition, you can log in after registering for the conference at tcworldconference.tekom.de with your login for your user account in 'my tekom' or 'my conference tool'.

Data collection within the framework of registration is for the purpose of contract fulfillment. The legal basis for this data processing is GDPR Art. 6 Para. 1 sentence 1 lit. b.

Data are processed on servers rented by us in Germany and Finland. We have concluded an agreement for order data processing to this effect with the provider.

We, as event organizer, store the collected data in view of the legal retention periods.

In the NetworkingLounge, you can get into contact with other attendees, send messages, and chat with one another. You can display all other attendees, search for specific attendees, or search for attendees with specific interests.

2. What personal data are taken over into your profile?

When you register for the conference, a profile is automatically set up for you.

The following personal data are taken from your login for your profile:

  • First name, last name
  • Email address
  • City
  • Country
  • Company
  • Indurstry/sector
  • Position

You have the option of adding the following information:

  • Photo
  • Job
  • Status
  • Interests (offering/looking for)
  • Social media

You can conclude the process by clicking on “Confirm profile”.

3. Visibility of your profile in the NetworkingLounge

Your profile is visible to other attendees, exhibitors and speakers with the following information:

  • First name, last name
  • Profile image
  • Location
  • Company
  • Sector
  • Position

Other attendees, exhibitors and speakers can see this information in the NetworkingLounge and search for your name.

4. Contact requests

You can make and receive contact requests. If the contact request is accepted, you can exchange messages and chat with one another and see others’ complete profiles. Without a confirmed contact request, you have the option of leaving a brief message. You cannot, however, chat.

5. Chats

Chats are SSL-encrypted and can only be seen by the persons chatting with each other.

6. Deleting contacts

Anyone can make a mistake once. You can undo contacts any time.

Meeting and exchanging with one another rank among the most important aspects of our events. The legal basis for data processing is GDPR Art. 6 Para. 1 sentence 1 lit. b.

You have the option of saving your profile for future events. The NetworkingLounge will be connected to 'my tekom' as an additional member service. Thus, the profile remains in existence for tekom members.

1. Functions

In the showrooms, you can:

  • Attend exhibitor presentations and watch the recordings
  • Download documents of exhibitors
  • Look at job postings of exhibitors
  • Hold personal conversations with consultant via video call
  • Leave consultants messages and make appointments

2. Visibility of your profile

In the showrooms, you will be visible with your profile (if any) if you “sit down” with a consultant at the counter. Other attendees can then learn your name by mouseover and can send you a message. This supports the idea of networking.

3. Leaving messages and making appointments

By using a contact form, you can leave messages for the exhibitors’ consultants or make appointments. By sending the message, you consent to the personal data specified by you, for example your email address, being used to respond to your message by the exhibitor.

4. Holding conversations with exhibitors’ consultants/use of BigBlueButton

Personal conversations with consultants are held using the conference tool BigBlueButton. To do so, you sit in a free place at the counter. Your profile image and name are visible to the consultants and other attendees. As an attendee, you have the option of switching on your webcam and speaking with other attendees or also alone with the counselor. The conversations are not recorded. BigBlueButton is open-source software operated by us on a rented server.

5. Exhibitor presentations/recording

Exhibitor presentations are held via the conference tool BigBlueButton.

Exhibitor presentations are recorded. The recordings are made available for six weeks in the exhibitor’s showroom.

With your participation in the live sessions, you consent to the recording and the recording being made available in the showroom. If you do not consent, we would kindly ask you not to participate in the live sessions and to watch the recording later.

6. Scope of data processing

While using BigBlueButton, various types of data are processed. The scope of the data here depends on what data you specify and enter before and during participation.

Consultant conversations

Your name is automatically forwarded to BigBlueButton when you sit at a counter in the showroom. Your name is visible in BigBlueButton for all other participants in the conversation. Furthermore, participant IP addresses and device/hardware information are processed for implementation. To allow the display of video and the playback of audio, the data from the microphone of your end device, any webcam on the end device, and the video data displayed on your screen during the conversation are accordingly processed.

Also during exhibitor presentations

While using BigBlueButton, various types of data are processed. The scope of the data also depends on what data you specify and enter during participation, and what functions you use. If applicable, you have the option of using chat, question or survey functions in an exhibitor presentation. In this respect, the text entries you make are processed in order to display them and, if applicable, to log them. Depending on the format of the session, it is possible that participants can have live discussions and that the names of participants are visible. You may possibly be given the opportunity by the moderator to share your screen with the result that the content of your screen is also displayed to the other participants, the moderator, and the speaker. In this case, if necessary, you can switch off or mute the webcam, microphone or screen-sharing yourself at any time.

7. Transfer of personal data

The speakers in exhibitor presentations receive a participant list, which includes exclusively the first and last names of participants. Using this list, the exhibitor has the opportunity to send participants in its presentation a contact request. Exhibitors are not authorized to perform any further processing of data.

9. Legal basis

Meeting and exchanging with each other rank among the most important aspects of our events. The legal basis for the data processing is GDPR Art. 6 Para. 1 sentence 1 lit. f. The processing of personal data during the exhibitor presentations is based on GDPR Art. 6 Para. 1 lit. a and on Art. 6 Para. 1 lit. f relating to the forwarding of participant names to the exhibitors holding the presentation for possible contact initiation via the NetworkingLounge.

10. Duration of storage

Recordings are available to exhibition visitors and conference attendees for 6 weeks after the event, after which they are deleted.

We are working together with LogMeIn (GoToWebinar and GoToMeeting) as conference service provider.

BigBlueButton is open-source software operated by us on a rented server.

When you sign up for sessions (such as lectures, workshops, tutorials or podium discussions), we forward the following personal data to the conference service provider LogMeIn:

While using GoToMeeting/GoToWebinar, various types of data are processed. The scope of the data also depends on what data you specify and enter during participation. Depending on the format of the session, it is possible that participants can have live discussions and that the names of participants are visible.

If applicable, you have the option of using chat, question or survey functions. In this respect, the text entries you make are processed in order to display and, if applicable, to log them. You may possibly be given the opportunity by the moderator to share your screen with the result that the content of your screen is also displayed to the other participants, the moderator, and the speaker. 3. Order data processing

We have concluded an agreement for order data processing with LogMeIn. Contact data of the conference service provider: LogMeIn, 320 Summer Street, Boston, MA 02210, USA.

We ourselves operate BigBlueButton on a rented server. We have concluded an agreement for order data processing with the provider.

4. Place of data processing

While using LogMeIn formats, the data are processed in the USA. LogMeIn guarantees an appropriate level of data protection as per GDPR Art. 46 Para. 2 lit. c. More information on this can be found at the LogMeIn Trust & Privacy Center.

The data collected via BigBlueButton are processed on servers rented by us in Germany and Finland.

5. Recording

Almost all the sessions of the conference are recorded and made available to all conference attendees for three (3) months on the conference website.

If the format permits you to share your picture and hold active discussions, or to be able to participate in a chat that is visible to all, you will be advised of this orally and in the chat at the start of the live event.

If you do not consent to your picture and contributions being recorded along with this, we would kindly ask you to leave the meeting and to watch the recording later.

If, at the start of a session, no notice is given, the format is either designed so that your name and question-chat are not visible, or the session is (as in workshops and meetups) not recorded.

6. Legal basis

The legal basis for the data processing is GDPR Art. 6 Para. 1 sentence 1 lit. b – Fulfillment of a contractual obligation – Participation in an event. The archiving of recordings is based on Para. 1 sentence 1 lit. f – Legitimate interest as a professional association.

7. Duration of storage

The sessions recorded are archived and, if necessary, put to further use.

8. Copyright

All conference materials from our events are protected by copyright. Participants are granted a simple, non-transferable right of use exclusively for personal purposes. Participants and third parties are expressly prohibited from modifying, either in part or in whole, the conference materials in terms of content or editorial, using modified versions, copying them for third parties, making them publicly accessible, transmitting them to the internet or other networks for a fee or free of charge, imitating them, reselling them, or using them for commercial purposes. Any copyright notices, trademarks, or brand names must not be removed. Prior approval from tcworld GmbH must be obtained for any intended recording of audio or video during the event. Photographs are permitted to a reasonable extent for private purposes, taking into account the rights of third parties. tcworld GmbH assumes no responsibility or liability for any inaccuracies in the content of presentations and documentation during the event.

1. Function

The Technology Day is a free event. It is for all conference and exhibition attendees of the tcworld conference.

2. Transfer of personal data

The speakers giving presentations on the Technology Days receive a list of participants in their presentations, which includes exclusively the first and last names and email adresses of participants. Using this list, they have the option of contacting participants in their presentation via the NetworkingLounge or via email.

3. Recording and storage duration

The recording is mainly used for archiving (tekom) purposes. Only on request will speakers and moderators be provided with the recordings for internal purposes.

4. Legal basis

Meeting and exchanging with each other rank among the most important aspects of our events. The legal basis for the data processing is GDPR Art. 6 Para. 1 sentence 1 lit. f.

We base the processing of personal data during the presentations and the forwarding of the names of the participants to the speakers for possible contact via the NetworkingLounge on GDPR Art. 6 para. 1 sentence 1 lit. f. We also base the recording on the legitimate interest of the association, GDPR Art. 6 para. 1 sentence 1 lit. f.

(1) Your satisfaction is important to us. Therefore, we will give you the opportunity to take part in a satisfaction survey after the event. Furthermore, we assume that you are interested in receiving information via email on tekom publications in connection with the presentations you attended and information on similar events from us. The legal basis for this is GDPR Article 6 (1) 1 lit. f and §7 (3) German Act Against Unfair Competition (UWG). You can inform us at any time that you do not wish to be informed any longer.

(2) Only with your express confirmation (according to GDPR Article 6 (1) lit. a) during the registration process will you receive information by email, in writing or, in special cases, by phone about new publications and training programs of tekom Deutschland/tekom Europe and tcworld GmbH, until such time as you revoke your consent, which you may do at any time.
